The Best Server Setup for a Freelance Editor (Remote & Secure Access)

Enough is enough. Gone are the days of digging through a shoebox of drives for a client project, or praying the one with the footage didn’t die since the last time you plugged it in. If you freelance, your media follows you to wherever the work is, which means you need to reach it from anywhere and trust that nobody else can. Welcome to your own personal storage server, with secure remote access baked in.

Servers used to be a studio thing. Owning one meant thousands of dollars on racks, equipment, and expensive (yet low capacity) hard drives. Oh, and let’s not forget about… THE NOISE! You think a RED camera is loud, well, you haven’t heard an industrial server’s decibel hit! Imagine 100 REDs at max fan speed. No solo freelancer had any business owning that. Not anymore. These days you can park a quiet box at home and get secure remote access to your footage from a coffee shop, a client’s edit bay, wherever the gig is. No studio, no overhead.

Sure, these industrial behemoths still exist and are probably powering this very blog post. However, for media professionals, superior solutions exist. Welcome to the world of Network Attached Storage.

Commonly referred to as “NAS”, these quiet storage computers are crazy powerful and can transfer footage at speeds surpassing 3GB/s. The best part about NAS’s is the price. For as little as $1,100 plus drives (okay maybe not “little” but inexpensive in the film world), you get a Thunderbolt server that houses ALL your projects. From your nephew’s wedding to the Apple commercial, you’re editing, Everything is there. No re-linking. No searching. No hassle. It just works.

Okay, …less talk about how awesome a NAS is and more about doing. In this blog post, let’s look at the best server for you, The Editor.

This post stays narrow on purpose: the freelance, work-from-anywhere setup, and the secure remote access that makes owning one worth it.


Do you even need a box? On-prem vs cloud in 2026

Before you spend a dollar on hardware, answer one question: does anyone else need these files open at the same time you do? Your answer drops you into one of three camps, and over five years their bills look nothing alike.

  • A NAS at home, reached through a private tunnel. You, working mostly alone, big camera originals, and a bill that stops once the hardware is paid for. That’s the build in the rest of this post.
  • A cloud filespace like LucidLink or Suite Studios. Two or more people who need the same media open at once, nobody who wants to babysit a box, and a per-month charge with no end date.
  • Both. The NAS is the archive and the source of truth; the filespace carries only the job you’re cutting this month. Most working freelancers end up here eventually; it gets its own section near the end.

If you’re solo, buy the box. Cloud filespaces bill every month forever and the meter runs on your whole library whether you opened it or not. Twenty-odd terabytes on a NAS is roughly $1,100 plus drives, once, and every terabyte after that is free. Cloud storage never gets cheaper than that. What it does give you is three editors in three cities opening the same timeline, which no box in your apartment handles well.


The Editor Build

The following server build is a replica of my home studio, updated for 2026 since a few of the original parts have been discontinued. It was important to have a good price-to-performance ratio and this build delivers just that. I can store all of my video backups, editing resources (film grain, luts, effects), and even host a Plex server to store my film collection! Not to mention: while editing I can have continuous read/write speed of over 600 MB/s. For those who are not aware, your average Lacie hard drive is around 130 MB/s and your average SSD is 450 MB/s. Having over 20TB of blazing-fast storage is a massive win and I can not imagine my life without it.


The NAS: which box to buy

First things first, the NAS. This is the heart of your operation. The best NAS can store your projects and doesn’t break the bank. Easy right??? Well… not quite. Just searching for NAS in Google will get you 1000s of options. For the most part, you will see two brands, Synology and QNAP. But even these companies have 100s of offerings each. Don’t worry, I’ve done all the research so you don’t have to. My day-to-day NAS is the QNAP TVS-472XT configured with 4 8TB drives, and it has run without a hiccup for years. Here’s the problem: QNAP discontinued it, and nothing in their current lineup (or Synology’s) replaces it anywhere near the price. The box that does is the UGREEN NASync DXP6800 Pro ($1,099). Yes, the cable company. Hear me out. Six hard drive bays plus two NVMe slots, a 10-core i5 with QuickSync for fast video transcoding when you access footage remotely, TWO 10G Ethernet ports, and 8 GB of DDR5 you can take to 64 GB. That’s the 472XT formula with more of everything, at the 472XT’s price. Nothing from Synology or QNAP touches this hardware for the money. Two caveats. UGREEN’s operating system is young: the essentials are all there (snapshots, Docker, VMs, two-factor login) and updates land steadily, but the app catalog is a fraction of QNAP’s. And the two Thunderbolt 4 ports are best understood as a direct line from the NAS to your edit bay that saves you buying a 10G switch and NIC; real-world they move data at 10G Ethernet speeds, not 40 gigabit. If your workflow lives and dies on a proven Thunderbolt pipe and a mature OS, spend up on the QNAP TVS-h674T ($2,499, and it’s a special order, not something sitting on a shelf). For everyone else, the UGREEN is the play.

What goes in the six bays is the one thing this post won’t tell you, on purpose. The short version: six drives in RAID 6 leaves you four drives’ worth of usable space, so six 6TB drives lands around 24TB, which is the “over 20TB” I keep mentioning. Buy 7200rpm NAS drives, and don’t shuck external drives to save forty bucks. The drive picks I’d buy today (and the current capacity math) live in the full server guide, which I keep updated as prices move.


The cache SSDs, and why you buy two

With the pool sorted, the SSD’s. These are your cache, and the cache is what decides how fast the server feels day to day. The DXP6800 Pro has two M.2 slots for exactly this. When you open a project, the server keeps it and other recently touched files on the NVMe cache, so the bins you’re actively cutting come off flash instead of spinning drives. My pick is the Samsung 990 EVO Plus. It reads at 7,150 MB/s, more than any connection out of this box can deliver anyway: over 10G Ethernet you’ll see around 1.1 GB/s from cache, and the six-drive pool sustains 500 to 600 MB/s on its own. Your Sony video camera has an average bit rate of 150 MB/s. As long as your overall transfer speed is above this number (which it is, several times over), you will not experience any slowdowns at all.

IMPORTANT: You must buy TWO SSD’s for RAID 1. This is to protect your data. If you are running a single SSD cache and it crashes, your data is GONE. With two drives in RAID 1, the second SSD mirrors the first, so the cache survives a dead drive. The same logic runs the main pool: put the six hard drive bays in RAID 5 or 6, where you give up one or two drives’ worth of capacity and in exchange a drive can die without taking a byte with it.

Regarding SSD size… I recommend 1 TB. If you constantly work with RED, ARRI, or other large-format files, go 2 TB apiece. Price is the ugly part right now: NAND costs spiked hard in 2026 (up roughly 250% since early 2025), and the 990 EVO Plus 1 TB that sat around $165 in mid-July is $238 as I write this, which puts a mirrored pair near $475 rather than the $330 it would have cost you two weeks ago. That’s real money on an $1,100 box, and it’s the one line I’d let you postpone. The NAS runs perfectly well with no cache at all, just slower when a project loads, and the slots will still be there when flash comes back down. If you do buy the cache, buy two. The bulk terabytes are unaffected either way; they live on cheap spinning drives.

Getting it onto your desk: Thunderbolt or 10GbE

Does your edit station have Thunderbolt 3? If you own a Mac from 2017 forward, you probably have some Thunderbolt 3 connections. All you need to purchase is this: A Thunderbolt 4 cable. You are on a PC? Well even if your PC has Thunderbolt 3 you are probably better off getting a 10G Ethernet card. I have had nothing but issues getting my Thunderbolt 3 connection to work on my PC and for ease of setup, I would just get a 10G PCI-E card. They are around $80 and for the most part, plug-n-play. Oh, and don’t forget your Ethernet cable. Any old Ethernet cable won’t work. You need to make sure it is at minimum a Cat 6a cable. The cables lying around your home are probably CAT 5 and do not support the 10G protocol. I recommend this one: Cat 6A Ethernet Cable 100ft. 

What if you own a Mac but are too far away from the server for the Thunderbolt cable to reach? Well, buy a 10G Ethernet Adapter. You won’t get direct Thunderbolt speeds, but 10G Ethernet at 1 GB/s is still plenty fast.

Reaching it from anywhere, without opening a hole in your router

This is the half of the setup that decides whether owning the box was a good idea, and it’s the half most NAS write-ups leave out. The wrong way is also the easy way: forward a port to the NAS, switch on UPnP, and log into the web interface from anywhere. It works on the first attempt, which is the problem. Nearly every large NAS ransomware event of the past few years landed on machines that answered the open internet. DeadBolt encrypted more than 3,600 internet-exposed QNAP units in 2022, after Qlocker and ech0raix had already worked the same ground. At Pwn2Own Ireland 2025, researchers produced seven zero-days against QTS and QuTS hero; QNAP patched them in November and none were seen exploited in the wild. The pattern holds across brands and across years: the victims are the boxes a stranger could knock on from a hotel lobby. I went through the brand-by-brand record in QNAP vs Synology for video editing.

So don’t expose it. Put the NAS on a private network that only your own devices can join, and leave the router alone. Tailscale is what I’d point a freelancer at: it builds a WireGuard mesh between your laptop, your phone and the NAS, and nothing in that mesh listens to the public internet. No port forwarding, no static IP, no dynamic DNS, no firewall rules to get wrong at 1am.

The Personal tier is free, permanently, for up to six users and as many devices as you own. The detail that makes this build work: subnet routers and exit nodes are both included at $0. A subnet router lets one machine on your home network hand you the entire LAN, so the NAS answers on its normal local address while you’re sitting in a coffee shop, and an exit node pushes your laptop’s traffic back out through your home connection when you’re on hotel Wi-Fi you don’t trust. Paid tiers start at $8 per user per month and add team controls a solo editor has no use for.

On the UGREEN, the install path is a Docker container. UGOS Pro runs Docker and virtual machines, and UGREEN’s own listing copy states it plainly: “All DXP series models support Docker and virtual machines. Plex can be run via Docker.” What UGREEN doesn’t have is a dedicated Tailscale package in its app catalog, so you’ll be pulling the image and setting the container’s flags yourself, and UGOS’s container tooling is rougher than Synology’s. Set aside an evening for it, not ten minutes. It’s the tax on a young operating system, the same trade I flagged back in the NAS section.

Both QNAP and Synology push their own relay services instead, myQNAPcloud and QuickConnect. Fine for grabbing a single file on your phone. For editing, they’re rate-limited middlemen, and you’ll feel it the first time you try to cut off the server through one.


What your home upload will bear

A tunnel will not make your home connection fast. Every speed in this post so far is a LAN number: the pool sustains 500 to 600 MB/s, the cache pushes about 1.1 GB/s over 10-gigabit, and both of those describe two machines in the same apartment. Edit from anywhere else and all of it funnels through your home upload, which is usually a small fraction of the download figure on your bill. Run a speed test and read the upload column, because that number is your ceiling. Even symmetrical gigabit fiber, which most people don’t have, tops out near 125 MB/s, a fifth of what those drives do sitting on your desk.

So working remotely off your own NAS means proxies. Generate them, leave the camera originals at home, cut from wherever the gig is, and relink when you’re back on the LAN or when the job goes to a finishing suite. No need to feel bad about that; most facilities run the same way. If the work truly requires camera originals open on a machine three states away, you’ve left NAS territory and you’re shopping for a cloud filespace or a cloud workstation.


The cloud side, and what it costs

Nothing in this section pays me a cent. There’s no affiliate program behind any of these names, so the links are plain links and the prices are what the vendors’ own pricing pages said in late July 2026. Check them before you sign anything; cloud pricing moves.

LucidLink is the name you’ll hear most in post. It slices files into blocks and streams them on demand, so a shared cloud volume mounts on your desktop and behaves like a drive rather than a sync folder that’s forever catching up. Encryption is zero-knowledge, which matters when the material is under NDA. Starter is $7 per member per month with 100 GB included per member, extra storage at $7 per 100 GB, and hard limits of ten members and 1 TB. Business is $27 per member per month, flat, with 400 GB per member, $8 per 100 GB beyond that, up to 25 members, plus 30 days of snapshot recovery Starter doesn’t get. Annual billing takes 15% off either. Read the included storage closely: these plans are sized in hundreds of gigabytes per member, which is an active project, not a library.

Suite Studios prices it the other way around: $75 per terabyte per month, five users included, $10 a month for each user after that, with a 14-day trial. For a small team sitting on a small active dataset, per-terabyte beats per-seat, and it’s not even close. Two features people assume come with the Managed plan and don’t: onsite caching and bring-your-own-storage are Enterprise-only. Frame.io is a review and approval layer rather than storage, and it belongs here because Camera to Cloud sits on the free tier, which gets you two members, two projects and 2 GB, with footage landing in a browser before the card leaves the camera. Pro is $15 per member per month and Team is $25, both 13% cheaper billed annually. Use it alongside the NAS, not instead of it.

For the archive leg, Backblaze B2 is $6.95 per terabyte per month, with egress free up to three times your average monthly stored data and $0.01 per gigabyte after that. Cold copies of delivered jobs are what it’s for.

The pattern most working freelancers land on

Neither side wins outright, so run both. The NAS holds everything: archive, LUTs, grain, stock, delivered masters. It cost what it cost and then it stopped costing. The cloud filespace holds one thing, the job in front of you, and only while it’s in front of you. You’re paying per member on 500 GB instead of on 40 TB, and when the job wraps it comes home to the box and a cold copy goes to B2. That hybrid is the answer for the freelancer who occasionally brings in a second editor and has no interest in rebuilding their whole storage life around the possibility.

Egress is the part of this pattern that stings, enough that I’m bringing it up a second time. B2’s free allowance of three times your average stored data is plenty for an archive nobody touches and not remotely plenty for a team pulling 4K dailies back down every week. LucidLink and Suite fold transfer into the seat or terabyte price instead, which is why they read as expensive per terabyte and often aren’t once you count the traffic. Price both against how much you move, not just how much you keep.

And there’s a ceiling above all of this. When the render and transfer load stops being a home-office problem, you’re into facility-scale infrastructure, and I covered what that looks like in remote media production with AWS and Resilio. Most freelancers never need to go there, and knowing where the edge is makes it easier to stop worrying about it.


Where to go next

And that’s it! Buy the box, tunnel into it instead of exposing it, cut proxies when you’re away from it, and put only the live job in the cloud. That’s the whole freelance setup, and it holds up whether you’re one editor or one editor who sometimes hires help.
